Right now, we’re looking for a Finance Administrator to join our Finance team in Dunfermline.

What the role involves

As our Finance Administrator, you’ll be key in ensuring financial accuracy and smooth banking operations across the business. You’ll be responsible for recording and allocating payments, reconciling transactions, and supporting clinics and hospitals with finance queries.

Your day-to-day responsibilities will include:

  • Accurately record and allocate payments, adjustments, and refunds in our Practice Management System (PMS).
  • Reconcile receipts, refunds, and credits to invoices.
  • Investigate unidentified receipts and assist with correct allocation into ERP and PMS systems.
  • Respond to finance queries via the shared mailbox.
  • Process approved discounts and cheques, and manage banking stationery.
  • Support monthly reconciliations and contribute to annual external audits.
  • Provide training to clinics on payment processing and compliance with company policies.
  • Ensure GDPR compliance and maintain confidentiality in all financial operations.

Who we’re looking for

We’re looking for someone who has:

  • Strong attention to detail and ability to manage multiple priorities.
  • Excellent communication skills, both written and verbal.
  • Problem-solving mindset with experience investigating discrepancies.
  • Proficiency in Microsoft Excel and MS Office applications.
  • Experience handling customer queries and disputes.
  • Familiarity with PMS, Helix, or similar systems is an advantage.
